"Best software" for a travel agency isn't really one product — it's a stack of tools covering different jobs: booking, client relationship management, itinerary creation, and accounting. Here's what each category needs to do, and what to weigh when comparing options within it.
1. GDS / Booking Access
The core booking layer — Amadeus, Sabre, Galileo, or Worldspan — is usually determined by your host agency or employer rather than chosen independently. What matters more at the individual agent level is fluency in reading and converting whatever system you're given; see our GDS comparison guide for how the major platforms differ.
2. PNR Conversion
Whatever GDS you use, converting a raw PNR into something a client can read is a near-daily task. Look for a tool that auto-detects format across multiple GDS platforms (so you're not stuck with separate tools per system), handles overnight and multi-city segments correctly, and doesn't require a paid account for basic use.
3. Itinerary Building
Beyond flight segments, a full client document usually needs hotels, transport, pricing, and terms pulled together into one branded, professional-looking output. Key things to look for:
- Auto-fill from a PNR, rather than manual retyping of every flight detail
- Your own branding (logo, colour, contact details) applied consistently
- PDF export that doesn't require the client to have an account or app
- Flexibility across package types (flights-only, multi-part holiday packages, etc.)
4. CRM and Client Management
As a client list grows, tracking who's travelling when, follow-up reminders, and past booking history by hand becomes unmanageable. A CRM built for travel — rather than a generic sales CRM — typically handles traveller profiles, passport/document expiry tracking, and booking history in a way generic tools don't.
5. Accounting and Commission Tracking
Independent agents in particular need to track commission income (often across many small payments from different suppliers), business expenses, and — in the US — 1099 income for tax purposes. General small-business accounting software works, though some agents prefer travel-specific tools that can reconcile commission statements more directly.
| Category | What to Prioritise |
|---|---|
| GDS / Booking | Usually set by your host or employer — focus on fluency, not choice |
| PNR Conversion | Multi-GDS format detection, free/low-friction for daily use |
| Itinerary Building | Auto-fill from PNR, your own branding, PDF export |
| CRM | Travel-specific fields (documents, traveller profiles) over generic sales CRM |
| Accounting | Commission reconciliation, clean expense tracking for tax time |
Before adding a new paid tool, check whether your host agency already provides one bundled into your membership — many do, particularly for booking and basic CRM functions, and paying twice for overlapping tools is a common unnecessary cost.
